VAGO is software that field service businesses use to run their work. That means most of the personal information in it is not about our users — it is about their customers. This policy explains both, and keeps them separate, because the rules that apply to them are different.
When a business uses VAGO we hold, for each person with a login: their email address, their display name if they set one, which workspaces they belong to, whether their account is switched on, and basic technical records of signing in. We are accountable for this information.
The business using VAGO enters information about the people and companies it serves. Typically: name, service address, phone number, email address, notes about the work, job and visit history, photos taken on site, and quotes and invoices.
We handle Customer Data on behalf of the business that entered it, and on their instructions. They decide what to collect and why; we store it and make it available to them. We do not decide what goes in, we do not use it for our own purposes, and we do not contact anyone in it.
If you are a customer of a business that uses VAGO and you want to know what is held about you, corrected or deleted, ask that business — they are the ones accountable, and they can act on it immediately. If you contact us instead we will refer you to them.
We use account information to:
We use Customer Data only to operate the service for the business that entered it — storing it, showing it back to them, geocoding an address so it can be mapped and routed, and producing their documents. We do not sell personal information, we do not use it for advertising, and we do not use it to train machine learning models.
VAGO is built on infrastructure run by other companies. Each is used for a specific purpose and receives only what that purpose needs.
| Provider | Purpose | What it receives |
|---|---|---|
| Supabase | Database, sign-in, file storage | All account information and all Customer Data |
| Netlify | Serving the application itself | Technical request data such as IP address; not your records |
| Google Maps Platform | Turning an address into a map location, and planning routes | Service addresses submitted for lookup |
| City of Ottawa Open Data (optional, off by default) | Looking up a municipal waste collection day, for bin-cleaning workspaces | Map coordinates only — no name, and no other detail |
That is the whole list. VAGO does not process payments for you, does not send messages on your behalf, and does not use an analytics or advertising service. There is no payment processor and no messaging provider in the path, because the product does not do those things.
Where the app offers to text a customer, it hands the message to the messaging app on your own phone, already filled in. It is sent from your number, by you. Nothing is transmitted through us and no third party sees it.
If we ever add payments or messaging, this policy will be updated and account holders told before it takes effect.
We may also disclose information where the law requires it, to enforce our Terms of Service, or to a successor if our business is sold — in which case this policy continues to apply until it is replaced and you are told.
Data is held in our providers' facilities in [REGION — confirm in your Supabase project settings]. Some of the providers above are based in the United States and may process information there.
Information stored in or moved through another country can be accessed by that country's courts, law enforcement and national security authorities under its laws. We tell you this because Canadian privacy law requires that it be disclosed, not because we expect it to happen.
No system is perfectly secure, and we cannot guarantee absolute security. If a breach occurs that creates a real risk of significant harm, we will notify affected users and the Privacy Commissioner of Canada as required by law.
Customer Data is kept while the workspace exists and its account is active. If an account is switched off, the data stays and remains readable so nothing is lost — see section 4 of the Terms. After an agreement ends we keep the data for the period stated there so an export can be taken, then delete it on request or in the ordinary course.
Account information is kept while the account exists, and afterwards only as long as needed for legal, tax or dispute-resolution purposes.
A user can delete their own VAGO account from Settings. This permanently deletes their login and removes them from every workspace they belong to.
It does not delete the workspace's records. A workspace belongs to the business, not to any one person in it — a dispatcher leaving does not take the company's route history and invoices with them, and the business may be legally required to keep those records. To have a whole workspace deleted, the business should contact us.
Under Canada's Personal Information Protection and Electronic Documents Act and applicable provincial laws, you can ask us to:
Write to the contact below. We will respond within 30 days. If you are not satisfied with our response you may complain to the Office of the Privacy Commissioner of Canada.
As set out in section 1: if your information is in VAGO because a business you deal with put it there, that business is the one to ask.
VAGO does not use advertising or cross-site tracking cookies, and does not run third-party analytics that profile you. The application stores information in your browser to keep you signed in, to remember which workspace you are working in, and to hold your display preferences.
VAGO is a tool for businesses and is not directed at children. We do not knowingly collect personal information from anyone under 13. If you believe we have, contact us and we will delete it.
We may update this policy. The "last updated" date at the top always reflects the current version, and we will give notice of a material change by email to account holders or in the app.
